Common Questions.
The questions we get asked before, during, and after engagements. Honest answers, no marketing.
What does Perkins SmartOps actually do?
We build invisible automation systems, with AI where needed, for UK small and medium businesses. We identify the repetitive manual processes your team does every day, such as data entry, report generation, customer follow-ups, and invoice processing, and replace them with automated workflows that run in the background without human intervention.
We use tools like n8n, Airtable, and Claude AI, but everything is built inside your own accounts so you retain full ownership and control.
Who are your typical clients?
UK small and medium businesses. Typically founders, operations managers, or data leads who know their team spends too much time on manual admin but are not sure where to start with automation.
What makes you different from other automation companies?
Most automation companies build the robot in their house. We build it in yours. Three things set us apart:
You own everything. Every automation we build lives in your own accounts. Your data, your tools, your intellectual property. If we ever parted ways, you keep the keys to the engine. No vendor lock-in.
We target a 26-week payback. If we cannot demonstrate that kind of return during the audit, we will tell you before we start building. Every project is tied to measurable savings, not vague promises.
We build with AI where it makes sense. Not every problem needs artificial intelligence. We match the right tool to the right task, from simple workflow automation to specialist AI agents tailored to your business.
How does pricing work?
Every automation is different, so we provide a transparent, fixed-price quote after your discovery call. We target a 26-week payback on every project. If we cannot demonstrate measurable returns during the initial audit, we will tell you.
We always provide a clear proposal before any work begins, so there are no surprises. Drop us an email to book a discovery call.
Is there a contract or can I cancel anytime?
No long-term contract and no minimum term. Our managed service runs month-to-month. If you want to cancel, you cancel. No exit fees, no notice period penalties.
Because everything is built in your own accounts, your automations keep running even after you leave. You are never locked in.
If something breaks after you have left the managed service, we are still here. We will assess the issue and provide a transparent quote to fix it. No obligation, no pressure to re-subscribe.
How does the process work?
Four steps:
Audit. We map your current workflows and identify the highest-value automation opportunities.
Build. We provide transparent proposals tied to measurable savings, prototype fast, then deliver production-grade systems. Every build goes through extensive testing by us and by you before anything goes live.
Monitor. Active monitoring, error handling, and performance checks. We often fix issues before you notice them.
Optimise. Quarterly reviews to refine, expand, and ensure your automations keep delivering ROI.
How long does a typical build take?
Most automation builds are completed within 14 days, depending on complexity. Simple workflows can be live within days. We will give you a realistic timeline during the audit phase.
Do I need any technical knowledge?
No. You need to understand your own business processes. Where time is being wasted, what causes errors, what slows your team down. We handle all the technical work.
We design every system with a human-in-the-loop approach, meaning high-stakes decisions always get a human thumbs-up. The technology serves you, not the other way around.
Do you use artificial intelligence?
When it adds value, yes. Not every automation needs AI, and we will never bolt it on just because it sounds impressive. A simple workflow that moves data between two systems does not need artificial intelligence. It needs reliable plumbing.
Where AI does come in is for tasks that require judgement, language, or pattern recognition. That can range from a single AI step that drafts a report or categorises incoming enquiries, all the way through to a highly complex AI agent that manages an entire process end-to-end, making decisions, taking actions, and learning from outcomes.
We will always recommend the simplest solution that solves the problem. If that means no AI, we will say so.
What are Judges?
Checks that sit between an AI step and the action it would take. Tone, factual accuracy, business rules, cost limits. The AI does not act unless the Judges pass. The judging can be code (deterministic rules) or another AI (semantic checks). Both count.
Most of the AI failures you have read about would not have happened with Judges in place.
Will my data go to OpenAI?
Depends on what you choose. We default to providers with no-training, no-retention contracts (Anthropic, Azure OpenAI, OpenRouter routed appropriately). If your data is sensitive enough that even routing matters, self-hosted models are an option. We will tell you the trade-offs honestly.
What if AI gets it wrong?
We design every workflow assuming AI will sometimes get it wrong. That is what Judges are for. For high-stakes actions, the AI drafts and a human reviews before send. For low-stakes actions, Judges catch the obvious failures and a human reviews exceptions. The acceptable error rate is your call, not ours.
Who owns the data and automations you build?
You do. Everything we build lives in your own accounts. You retain 100% ownership of your data and intellectual property. No black boxes, no vendor lock-in.
What happens if we stop working together?
You keep everything. Because all automations are built in your own accounts, they continue to run even if our engagement ends. We provide full handover documentation so your team, or another provider, can maintain and extend the systems.
How do you handle sensitive business data?
We operate under UK GDPR and use data minimisation principles. AI only sees what it needs to perform a specific task. We use a direct, secure connection which, by default, excludes your data from being used for model training.
Because everything runs in your own accounts, your sensitive business data never sits on our servers.
How do I get started?
Email [email protected] and tell us about the problem you are trying to solve or the outcome you want. We will suggest a pragmatic starting point.
No sales pitch, no obligation. Just questions and options.
What if I am not sure what to automate?
That is exactly what the audit is for. We start by understanding how your business operates day-to-day, then identify where the biggest time savings and error reductions are hiding. You do not need to come with a technical brief. Just tell us what frustrates your team, and we will find the opportunities.
Question we haven't answered?
